Terms and Conditions

Chand Raat Eid Festival 2024


Tuesday, 9 April 2024; 4pm to 12am, Prince Alfred Square Park, Parramatta

TERMS & CONDITIONS, POLICY and PROCEDURES for stallholders and sponsors on the day of the event.

Stallholder and Sponsor must read and comply. Non-compliance will result in stall cancellation and immediate shutdown.


GENERAL CONDITIONS

  • Stall confirmations are final, with no cancellations allowed. Stall charges are non-refundable.
  • In the event of inclement weather and local council directive to halt the event, no stall fee refunds will be provided as costs are incurred in organizing the event.
  • Misrepresenting the stall's purpose will result in immediate removal and forfeiture of fees.
  • Stalls are for the exclusive use of the registered individual or entity on the application.
  • Stall assignments are at the organizer's discretion and will be revealed closer to the event.
  • Allocated stall locations and numbers are final. Relocation of stall items, including tables and chairs, is prohibited.
  • Absentee stallholders, or those canceling last-minute, will forfeit their fees, and organizers may repurpose the stall.
  • Basic amenities include public restrooms, security, and fire services. Stallholders should familiarize themselves with nearest fire exits.
  • Requests for additional facilities (e.g., extra lighting, water) may incur charges or depend on organizer discretion.
  • If the organizer cannot provide specific equipment, stallholders may bring their own, subject to approval.
  • Permanent alterations to walls, such as nails or heavy adhesive, are prohibited. Stallholders will be liable for damages.
  • Accidents or damages to the venue fall under the liability of the renting party, who must bear any financial or legal consequences.
  • Stalls must operate within their allotted space, without encroaching on neighboring stalls or pathways.


HANDLING AND CLEARANCE OF STALL CONDITIONS

  • Access to the Loading Dock mandates wearing a hi-vis vest and closed-toed shoes.
  • Stallholders are responsible for their exhibit's handling and clearance.
  • Stalls should be kept clean, with required cleaning materials brought by the stallholder. Unclean stalls may result in penalties.
  • The organizer holds no responsibility for stallholder losses. Stallholders should secure their items against all risks during transportation, setup, event duration, and dismantling.
  • Subletting or sharing stalls is strictly prohibited.


TECHNICAL GUIDELINES

  • Stall design must be shared with and approved by organizers. Compliance with setup and dismantling schedules is mandatory.
  • Stallholders are liable for any damages or injuries caused during the event.


RIGHTS OF CHAND RAAT EID FESTIVAL MANAGEMENT

  • The right to reclaim compensation for losses or willful contraventions.
  • The authority to modify the event in unforeseen circumstances.
  • Permission to photograph or film stalls for promotional purposes.
  • Discretion over stall operations during unforeseen issues.
  • Enforcement of item restrictions within stalls.


SPECIFIC STALL CONDITIONS: FOOD STALLS & VANS

  • Food stalls will be outdoors, with stall numbers assigned upon arrival.
  • Each stallholder has a designated bump-in/bump-out time.
  • Food stall requirements must align with Temporary Food Stalls' Environmental Health Requirements.
  • Stallholders must notify local councils of their participation and meet any requirements or fees.
  • Floor coverings are essential for food stalls to prevent spills and damage.
  • Benches for food preparation must have plastic coverings.
  • Waste oil bins must be provided by stallholders, with no disposal in drains.
  • Cooked food should be covered, and stalls should ensure they use only the allocated space.
  • Food must be HALAL. Inquiries can be directed to Chand Raat Eid Festival management.
  • Food stall location decisions rest with the organizer.
  • Stallholders must manage waste and recycling.
  • Stallholders must ensure the majority of food preparation occurs before the event, following safe and hygienic protocols.
  • Only competent staff should man the stalls for the event's duration.
